Leave Opening Balance – Year Wise

Introduction/Purpose:

The purpose of a leave opening balance is to keep track of the number of leaves an employee has available at the beginning of a specified period, typically a new calendar year

Dependency:

  • Annual Leave: Annual leave, also known as vacation leave or paid time off (PTO), refers to the allocated number of days an employee is entitled to take off for leisure, relaxation, or personal reasons.
  • Emergency Absence: Emergency absence refers to unplanned or unforeseen situations that require an employee to be absent from work immediately. It could be due to personal emergencies, such as accidents, illnesses, or urgent family matters.
  • Sick Leave: Sick leave is a type of leave that allows employees to take time off from work due to their own illness or injury. 
  • Medical Leave:  Medical leave refers to a specific type of leave granted to employees for medical reasons, including treatments, surgeries, or ongoing medical conditions.

How To Navigate

The navigation to record a leave opening balance in the HRMS system typically involves the following steps:

  • Click on the main navigation icon: The main navigation icon is located on the top right corner of the screen then click on the Leave Management section which is located on the left side menus on the screen.
  • Click on the leave opening balance: The leave opening balance section which is located in the Transactions under Leave Management. After clicking on this link you can navigate Leave Opening Balance Listing.

Listing:

The leave opening balance listing allows users to view all approved & pending leave request records. The key features of the leave opening balance listing are included below:

  • Year Filter: The user can filter the leave opening balance record on the basis of  the financial year such as Year-2023, Year-2022, Year-2021.
  • Show All Listing Columns: This option lets the user clear all filters and display all records on the listing page.
  • Import: The “Import” field allows the user to import the leave opening balance record in the form of xls.
    • When the user clicks on the “Import” option up will display having following mandatory field:-
      • Calendar Year *: The user has to choose a calendar year from the drop-down menu.
      • Opening Leave*: The user has to upload a . CSV file in the opening leave field which contains data.
  • Export: This option allows the user to export the Leave opening balance in the form of Excel.

Recording & Update:

Users can add leave opening balance for the individual employee and fill in required fields.

  • Compassionate Leave: Compassionate leave, also known as bereavement leave or condolence leave, is granted to employees who need to take time off work to deal with the death or serious illness of a family member or loved one.
  • Medical Leave:  Medical leave refers to a specific type of leave granted to employees for medical reasons, including treatments, surgeries, or ongoing medical conditions.
  • Paternity Leave: Paternity leave is granted to fathers to take time off from work following the birth or adoption of a child. The paternity leave field in the leave opening balance indicates the number of unused paternity leave days carried forward from the previous period.
  • Maternity Leave:  Maternity leave is granted to female employees to take time off work before and after giving birth to a child. The maternity leave field in the leave opening balance
    represents the accumulated number of unused maternity leave days from the previous period.
  • Examination Leave: Examination leave is provided to employees who need time off work to prepare for and take examinations related to their education or professional development. 
  • The user can perform the following action in this section:
    • Submit:
      • This option allows the user to submit the Leave Opening balance record in the database. User can also update leave balance in previous balance.
      • The user will get a pop message “Leave balance added successfully”
