Introduction/Purpose

The “Order Validity Settings” module provides the administrative control necessary to effectively govern the validity parameters of ordered products, taking into consideration both the quantity range (minimum and maximum quantities) and the distinct business segments involved.

In the process of product procurement, the requirement arises to ensure timely loading and transportation. Therefore, the system incorporates provisions for specifying the validity of truck loading and transportation for products falling within specific quantity ranges and ordered by designated business segments. This entails a stringent commitment to fully load and transport the ordered products to the customer within the stipulated time frame.

Dependencies

1. Database: A robust and secure database is essential to store and manage order validity settings. The database should be capable of handling the configuration data and ensuring data availability whenever required.
2. System Performance: The system should respond properly to save the setting into the database.

Order Validity Settings List

All the added order validity settings will be displayed at the Order Validity Settings list screen.

To open the list of order validity settings, there are two ways as mentioned below.

1. Click on the “Order Validity Settings” from the menu under the “Configurations” module as shown below.

2. Click on the “Order Validity Settings” from the site map under the “Configurations” module as shown below.

Add Order Validity Setting

To configure a new order validity , follow the below steps.

Step 1: To open the order validity settings list screen, follow the steps mentioned in the section “Order Validity Settings List”.

Step 2: Click on the “+ Add Order Validity Setting” button as shown below.

Step 3: Enter minimum quantity, maximum quantity, validity (in days) and select an order type, as shown below.

Step 4: Click the “Save” button to save the order validity, as shown below.

Update Order Validity Setting

To update an order validity setting , follow the below steps.

Step 1: To open the order validity settings list screen, follow the steps mentioned in the section “Order Validity Settings List”.

Step 2: Click on the “Minimum Quantity” from the list, as shown below.

Step 3: Update minimum quantity, maximum quantity, validity (in days) and order type, as shown below.

Step 4: Click the “Update” button to save the update of order validity, as shown below.

**Fields Available In The Add/Update Form

• Min. Quantity (Required): Enter the quantity for minimum quantity of the products that is required to be ordered.
• Max. Quantity (Required): Enter the quantity for maximum quantity of the products that is required to be ordered.
• Validity (in days): It is a time frame in days that needs to be set for the order to be fully loaded and transported to the customer after the order is placed. The order can be loaded in parts but all the loading needs to be complete in the validity time frame.
• Order Type (Required): It is the business segment that needs to be set using dropdown list. The validity will be set for the business segment who ordered the products.
