Summary

Introduction/Purpose

The Summary portion of the Sales Portal Dashboard gives a brief yet comprehensive overview of critical statistics and key performance indicators (KPIs) for oil and gas industry. It is a user-friendly solution that provides immediate insights to stakeholders, enabling data-driven decisions and effective operational monitoring.

The purpose of this section is to provide the Sales overview, top performers, Allocation & position, Financial Insights, order & invoice tracking, and upcoming activities, among other things.

Method 1: Click on Dashboards module from the hamburger menu as shown below. 

Method 2: By default, summary page will be open for dashboard. Click on the Dashboards module from the sitemap as shown below.

Daily Sales :

The “Daily Sales” section of the Sales Portal’s “Summary” provides a quick overview of daily sales transactions. It comprises the date and related sales numbers, as well as a visual depiction of sales performance percentages in the form of a bar graph.

  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Daily Sales will be updated. 
  • Users will be able to click on the sales amount, which opens a comprehensive table. Order Code, Supplier, Company, Contact Person, Delivery Completion Date, Total Amount, Order Type, Added Date, and Status (Completed/Pending) are all listed in this table.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire data will be updated. 
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

Weekly Sales: 

The “Weekly Sales” section in the “Summary” section of the Sales Portal dashboard provides an overview of sales activities within a specified weekly timeframe. It includes a date range along with corresponding sales amounts, complemented by a single bar graph illustrating sales performance percentages.

  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Weekly Sales will be updated. 
  • Users will be able to click on the sales amount, which opens a comprehensive table. Order Code, Supplier, Company, Contact Person, Delivery Completion Date, Total Amount, Order Type, Added Date, and Status (Completed/Pending) are all listed in this table.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire data will be updated. 
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

Total Sales: 

The “Total Sales” column of the Sales Portal dashboard’s “Summary” provides a summary of overall sales revenue. Users can choose from five options: “PPYTD Sales” (Previous Year-to-Date Sales), “PYTD Sales” (Previous Year Sales), “YTD Sales” (Year-to-Date Sales), “This Month,” and “Last Month.”

Upon selecting an option, the corresponding sales data is displayed, along with detailed information and a parabolic graph. This feature allows users to quickly access and analyze total sales data based on their preferred timeframes, helping them make informed decisions and track sales performance effectively.

  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Total Sales will be updated. 

Overall sales summary : 

The “Overall Sales Summary” section provides a comprehensive overview of various sales metrics, including: Fuel Types, Lubes, Other supliers. It displays the both the quantity (in liters) and the corresponding amount for PMS (Premium Motor Spirit), AGO (Automotive Gas Oil), LPG, and  JET A1 (Jet Fuel). For lubricants and other suppliers, the units and amounts are displayed.

  • This section includes bar graphs representing sales data. These graphs visually depict sales figures on a month-wise and quantity-wise basis for PMS, AGO, JET A1, Lubes, and other suppliers. 
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Overall Sales Summary will be updated.
  • User will be able to view the overall amount of the Overall sales summary.
  • Clicking on the labels for PMS, AGO, JET A1, Lubes, or other suppliers allows users to access detailed data in tabular format.
  • The detailed data table includes columns such as Order Code, Supplier, Company, Contact Person, Delivery Completion Date, Total Amount, Order Type, Added Date, and Status (Completed/Pending).
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

Top 10 Companies & Product Sales Summary:

The “Top 10 Companies & Product Sales Summary” in the “Summary” section of the Sales Portal dashboard offers a comprehensive overview of sales data.  line graph displays sales amounts with specific stations, allowing users to track sales performance visually.

  •  Users can view the number of units/liters and the corresponding total sales amount for the entire company. Based on User’s selection of PPYTD, PYTD, YTD, This month, Last Month. The overall details will be changed according to it.
  • This section includes the number of units sold and the corresponding sales amount for various items such as PMS (Premium Motor Spirit), AGO (Automotive Gas Oil), Jet A1 (Jet Fuel), LPG (Liquified Petroleum Gas), Lubes, and other suppliers.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Top 10 Companies & Product Sales Summary will be updated.
  • By clicking on individual product users can access specific data for that product including columns such as Order Code, Supplier, Company, Contact Person, Delivery Completion Date, Total Amount, Order Type, Added Date, and Status (Completed/Pending).
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.
  • This section offers a full view of company-wide and product-specific sales data for users to assess visually and access detailed insights for decision-making and performance tracking.

PMS Stock:

The “PMS Stock” section of the Sales Portal dashboard’s Summary provides an overview of Premium Motor Spirit (PMS) stock. It contains a pie chart graph that depicts stock distribution by percentage. It also shows the quantity (in liters) and associated amount for PMS stock.

  • Users will be able to use the refresh icon. When users click the refresh icon, the entire PMS Stock will be updated.
  • Users can click on the amount to access specific data in tabular form, featuring columns such as Account No, Account Name, Terminal, Net Available Quantity, Pending LT Quantity, Available Quantity, and Weighted Average Cost (WAC). This functionality allows for detailed insights into PMS stock status.
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

AGO Stock:

The “AGO Stock” section in the Summary of the Sales Portal dashboard provides an overview of Automotive Gas Oil (AGO) stock. It features a pie chart graph displaying the distribution of stock by percentage. Additionally, it presents the quantity (in liters) and the corresponding amount for AGO stock.\

  • Users will be able to use the refresh icon. When users click the refresh icon, the entire AGO Stock will be updated.
  • Users can click on the amount to access specific data in a table format, which includes columns such as Account No, Account Name, Terminal, Net Available Quantity, Pending LT Quantity, Available Quantity, and Weighted Average Cost (WAC). This feature enables users to gain detailed insights into AGO stock status.
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

JET-A1 Stock:

The “JET-A1 Stock” section in the Summary of the Sales Portal dashboard provides an overview of Jet-A1 stock. It includes a pie chart graph illustrating the distribution of stock by percentage. Additionally, it presents the quantity (in liters) and the corresponding amount for Jet-A1 stock.

  • Users will be able to use the refresh icon. When users click the refresh icon, the entire JET-A1 Stock will be updated.
  • Users can click on the amount to access specific data presented in a table format. This table contains columns such as Account No, Account Name, Terminal, Net Available Quantity, Pending LT Quantity, Available Quantity, and Weighted Average Cost (WAC).
  •  This feature allows users to study detailed information on Jet-A1 stock.
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

LPG Stock:

The “LPG Stock” section in the Summary of the Sales Portal dashboard provides an overview of Liquified Petroleum Gas (LPG) stock. It includes a pie chart graph that visually represents the distribution of LPG stock by percentage. Additionally, it presents the quantity (in liters) and the corresponding amount for LPG stock.

  • Users will be able to use the refresh icon. When users click the refresh icon, the entire LPG Stock will be updated.

White Product Stock By Terminal: 

The “White Product Stock By Terminal” section in the Summary of the Sales Portal dashboard provides an overview of fuel stock for white products. It displays the total quantity and amount of white product fuel stock. 

  • Additionally, this section includes line graphs for various terminals, each representing the quantity (in liters) of the product.
  • Users can select a specific terminal, and upon selection, the available quantities of PMS, AGO, Jet A1 are displayed as bar graphs, offering insights into the stock levels at each terminal.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire White Product Stock By Terminal will be updated.

Stock Allocation:

The “Stock Allocation” section in the Summary of the Sales Portal dashboard offers insights into the total quantity of fuel stock in liters. It complements this information with a parabolic graph that visualizes allocations and loadings on a monthly basis, typically covering months like April to September (for example).

  • This feature helps users in tracking and controlling stock allocation and loading patterns over time, allowing for improved fuel distribution and resource allocation decisions.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Stock Allocation will be updated.

Stock position Summary:

The “Stock Position Summary” section in the Summary of the Sales Portal dashboard provides a concise overview of fuel stock positions. Users have the option to choose from four categories: PMS (Premium Motor Spirit), AGO (Automotive Gas Oil), Jet A1, and LPG (Liquefied Petroleum Gas). When a category is chosen, the system displays Quantity (values) in liters for available and unloaded quantities.

  • This section also includes line graphs that show the available and unloaded quantities (in liters) at various terminals. Users can choose from the available choices (PMS, AGO, Jet A1, or LPG) to visualize stock situations at various terminals, allowing for more effective stock management and distribution decisions.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Stock Position Summary will be updated.

Payments By Retail Stations / Shops:

The “Payments By Retail Stations / Shops” section in the Sales Portal Summary presents data in a tabular format, with specific columns like Recent Payment Code, Retail Station, Operated Company, Company Classification, Payment Date, and Amount. A total amount of all values can be seen at the end of the table.

  • Users can utilize the search box to easily find specific content within the table, enhancing data accessibility.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Payments By Retail Stations / Shops will be updated.
  • The menu icon allows users to access and view all records, giving them a complete overview of payment information related to retail stations and stores.
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

Latest Updates:

The “Latest Updates” section of the Sales Portal dashboard’s Summary gives real-time information about recent system actions. It provides a summary of major updates, such as: 

  • Recent Payment Amount: This figure represents the total amount of payments made recently.
  • Declined Payment Amount: It shows the total value of payments that have been declined or not accepted.
  • New Companies: This indicates the number of newly added companies to the system, highlighting any changes or expansions in the user’s business network.
  • Upcoming LT (Loading Tickets): It displays the number of upcoming loading tickets, offering insights into planned fuel or product transfers.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Latest Updates will be updated.

Order Summary:

The “Order Summary” area of the Sales Portal dashboard’s Summary provides a detailed breakdown of payment receipts for the year. This data is visually represented by a pie chart, which shows payment amounts divided into months and quarters.

  • In addition to the pie chart, the section presents detailed data in a table format. The table includes columns for Quarters, Number of Orders, and Amount. At the bottom of the table, the total amount of payments received for the year is displayed.
  • Users can utilize the search box to easily find specific content within the table, enhancing data accessibility.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Order Summary will be updated.

Due Summary:

The “Due Summary” part of the Sales Portal dashboard’s Summary provides an overview of overdue dues. It clearly and concisely displays the total amount of dues.

This section uses a bar graph to visually illustrate the distribution of dues into three categories: Paid, Partial, and Due, in addition to the total amount.

  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Order Summary will be updated.
  • Users can interact with this data by clicking on any part of the graph, whether it’s the Paid, Partial, or Due segment. Clicking on a segment opens a detailed list of invoice summary data. The table includes columns such as Invoice, Date, Company, Retail Station, and Amount, allowing users to access specific information related to outstanding dues.
  •  When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

Invoice Summary:

The “Invoice Summary” section in the Summary of the Sales Portal dashboard presents a tabular list of data. This table includes columns such as Invoice, Date, Company, Retail Station, Status (Pending / Paid), Paid Amount, and Due Amount. The total paid and due amounts displayed below the table.

  • Users can utilize the search box to easily find specific content within the table, enhancing data accessibility.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Invoice Summary will be updated.
  • The menu icon allows users to access and view all records, giving them a complete overview of payment information related to retail stations and stores.
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.

Upcoming Loading Tickets:

“Upcoming Loading Tickets” in the Summary section of the Sales Portal dashboard refers to a list of forthcoming loading tickets. This data is presented in a tabular format, featuring columns such as LT Code, Supplier Name, Transporter, Product, Truck No, Driver, Loading Terminal, Loading Date, Destination, Final Destination, LT Status (Checked In), LT Type, and Scheduled Quantity.

  • Users can utilize the search box to easily find specific content within the table, enhancing data accessibility.
  • When a user clicks the Export icon, a popup will appear, prompting the user to select between PDF, CSV. Upon choosing any of these options, the user will get the downloaded file.
  • Users will be able to use the refresh icon. When users click the refresh icon, the entire Invoice Summary will be updated.
