Employee Transfer

Introduction/Purpose:

Employee transfer refers to the movement of an employee from one job or department to another within the same organization. The purpose of employee transfer can vary depending on the specific circumstances, but generally, it is done to meet the needs of the organization while also providing opportunities for the employee to develop new skills, gain new experiences, and advance their career within the organization. Here are some common reasons why employers may transfer employees:

Recording employee transfers is important for several reasons:

  • Compliance: In some jurisdictions, employers are required by law to maintain records of employee transfers. Failing to do so can result in penalties or legal liabilities.
  • Transparency: Recording employee transfers promotes transparency and accountability within the organization. By maintaining accurate records, employers can ensure that employees are being treated fairly and consistently, which can improve employee morale and trust.
  • Business Planning: Recording employee transfers can help employers to plan for future workforce needs. By analyzing the data on employee transfers, employers can identify trends and patterns, which can inform decisions about hiring, training, and organizational development.

How To Navigate:

The navigation to record an Employee Transfer in the HRMS system typically involves the following steps:

  • Click on the main navigation icon which is located on the top right corner of the screen then click on the HR operation section which is located on the left side menus on the screen.
  • Click on the Transferred Employee section which is located in the Employee Enrollment under HR operation. After clicking on this link you can navigate to the Transferred Employee listing and from that you can initiate Employee Transfer.

Listing:

The Employee Transfer listing allows users to view all Transfer Employees. The key features of the Transferred  Employee listing is included below:

  • Record Filter: The filter option allows users to filter the list of records based on visible columns, such as
    • Employee Name
    • From Company,
    • To company 
    • Added by
    • Added date 
    • Transfer Date 
    • Status.
  • Advance Search: This option allows user to filter data with single or Multiple criteria in Column Name with options like
    • equal
    • Not Equal
    • Begins 
    • Does Not Begin with
    • Ends With
    • Does Not End with
    • Contains 
    • Does Not Contain
  • Export Data: Selected Records, Current Page records or All records can be exported by users with listed Columns or All Columns to a spreadsheet or other file format for further analysis or reporting.
  • Hide/Show Column
    • This option allows users to customize columns by adding/removing columns to display from the Listing page.
    • In this option user have to select the column which they want to view in the list, if the user unchecks/unselect all column then the system will give an error message that “Please check at least one column”

The user can view following action in this section

  • Ok: On clicking the “Ok” button, the user can submit the checked option, and based on the selection, the column will display to the user in the list.
  • Cancel: On clicking this button the user can cancel the check column.
  • Show All Listing Columns: This option allows the user to clear all Filters and display all records on the Listing page.

Recording & Updates:

The user can view the list of transferred employees which contains columns such as Employee Name, From Company, To Company, Added by, Added Date, Transfer date, status

Key Notes:

  • Transferred records  can be viewed only when the employee is exited from the company and transferred to another company.
