Introduction/Purpose: 

Employee training in the core master module of HRMS (Human Resource Management System) is a vital component of an organization’s overall training and development strategy. It focuses on equipping employees with the necessary skills, knowledge, and tools to excel in their roles and contribute effectively to the company’s objectives.

The purpose of employee training in the core master module of HRMS is to ensure that employees have the required skills and knowledge to perform their job functions efficiently and effectively. This training module aims to address the specific needs of the organization, the department, and the individual employees.

Dependency:

  • Organizational Objectives: The training module’s content and focus depend on the organization’s strategic goals and priorities. The training needs to align with the overall direction and objectives of the organization to ensure that employees are equipped with the skills and knowledge required to contribute effectively to those goals.
  • Job Roles and Responsibilities: The training content and delivery methods depend on the specific job roles and responsibilities within the organization. Different departments or teams require tailored training programs to address their unique skill requirements and job functions.
  • Training Resources and Expertise:The availability of training resources, both human and material, is essential for successful implementation. Trainers with expertise in HRMS and related areas need to be available to deliver effective training sessions. 

How To Navigate: 

The navigation to a employee training in a HRMS typically involves the following steps:

  • Click on the main navigation icon: The main navigation icon located in the top  right corner of the screen. Clicking on this icon will open the navigation menu, which typically includes links to various sections of the HRMS system.
  • Click on the Training & Survey section: The Employee Training is located under the transaction section. By clicking on the employee training will display a training title, category, training skill, training type, location name, participants, start date, end date, added date, status, approval status and action

Listing: 

  • Quick Search: This feature allows users to quickly search for specific records or information within a listing. It enables users to enter keywords or criteria to find relevant data efficiently.
  • Export: The Export feature allows users to extract data from a system or application and save it in a format that can be used in other programs. It provides options to export data in formats such as Excel, CSV, and PDF in landscape or portable formats.
  • Hide and Show Column: This feature allows users to customize the display of columns in a table or listing. Users can choose to hide or show specific columns based on their preferences or the information they need to view, providing a more personalized and streamlined user experience.
  • Show all listing records: This feature allows users to display all records or entries in a listing or database at once. It eliminates any pagination limits and shows a comprehensive view of all available data, making it easier to browse through and analyze large datasets.
  • Advanced Search: Advanced Search provides users with additional search options and filters to refine their queries and find specific records or information within a system or application. It typically offers more advanced search criteria, such as date ranges, multiple keyboard inputs, or specific field searches.
  • Delete Row: This feature allows users to remove a specific row or record from a table or listing. It provides a means to remove unwanted or outdated data, enabling data cleanup and maintenance within the system.
  • Pagination: It typically includes navigation links or buttons to move between pages, making it easier to browse and navigate through large datasets without overwhelming the user with all the records at once.

Employee Training:

  • Subject of Training* : This field captures the subject or topic of the training program. It provides a brief description of what the training is focused on.
  • Category* : This field categorizes the training program into relevant groups or types. It helps in organizing and classifying different training programs based on their nature or purpose.
  • Skill: This field indicates the specific skill or skills that will be developed or enhanced through the training. 
  • Course Facilitator: This field specifies the person or entity responsible for conducting the training program. 
  • Type of Training* : This field distinguishes the type of training program being offered. It could include options such as physical training, virtual training, or both physical and virtual training. 
  • Skill Sets Tag: This field includes relevant keywords or tags that describe the skill sets associated with the training. It helps in searching for and filtering training programs based on specific skills.

Training Details:

  • Training Reach* : This field indicates whether the training program is intended for internal participants within the organization or if it is open to external participants as well.
  • Maximum Participants* : This field denotes the maximum number of participants that can be accommodated in the training program. It helps in managing the capacity and ensuring an optimal learning experience for all participants.
  • Min Experience (in yrs): This field specifies the minimum level of experience required for participants to attend the training program, measured in years. It helps ensure that participants have the necessary background or knowledge to benefit from the training.
  • Status: This field indicates the current status of the training program. It can be “proposed”, “in progress”, “published”, “completed”.

Training Time:

  • Duration (in days)* : This field specifies the duration of the training program in days. It provides a clear timeline for participants to understand how long the training will last.
  • Start Date* : This field indicates the planned start date for the training program. It helps participants know when the training will begin.

Training Location:

  • Location: This field captures the name or description of the training venue. It provides a specific identifier for the location.
  • Address* : This field records the address or location details of the training venue. It includes the street name, building number, and any other necessary information for participants to find the venue.
  • Country* : This field specifies the country where the training program will take place.
  • State* : This field denotes the state or region within the country where the training program will be held.
  • City* : This field indicates the city where the training program will be conducted.
  • Zip Code* : This field captures the postal code or ZIP code of the training venue. It helps identify the exact location within a city or region.
  • Training Description* : This field provides a detailed description of the training program. It includes information about what the training aims to achieve, what participants will learn, and any other important details they should know. It gives participants a clear understanding of what the training involves.

Certificate Provided checkbox: On enabling:

  • Certificate Template: This field refers to the template or design that will be used for the training program’s certificate. It determines the visual appearance and layout of the certificate.
  • Certificate Signature: This field indicates the authorized person’s signature or endorsement that will appear on the training program’s certificate. It adds credibility and authenticity to the certificate.

Certificate Provided checkbox: On enabling:

  • Feedback Template: This field refers to the template or form that participants will use to provide feedback on the training program. It can include specific questions or rating scales to gather structured feedback.
  • Broadcast Training: This field is enabled only when the training mode is virtual or both physical and virtual.

  • Broad-Cast Information: This field helps the user enter the broadcast information and their information.
  • Trainer Schedule:
  • Date*: This field indicates the date on which the training session is scheduled to take place.
  • Session Title*: The session title is a brief description or name given to the training session, representing its topic or theme.
  • Internal Trainer*: This field specifies the name or identifier of the internal trainer who will be conducting the training session.
  • External Trainer: The external trainer field denotes the name or identifier of a trainer who is not affiliated with the organization hosting the training.
  • Training Cost: This field indicates the cost associated with conducting the training.
  • Start Time*: The start time denotes the scheduled time at which the training session is planned to begin.
  • End Time*: This field represents the expected time of completion for the training session.
  • Duration (HH:MM): The duration field shows the length of the training session in hours and minutes, typically displayed in the format HH:MM.
  • Status: The status field provides an indication of the current state of the training session. It can be used to track whether the session is confirmed, pending, completed, published or cancelled.
  • Actions: The actions field may include a set of options or buttons that allow administrators or users to perform specific actions related to the training session.
  • Training Material:
  • Title*: The title field refers to the name or brief description given to the training material.
  • File*: The file field represents the actual training material itself, such as a document and presentation.
  • Actions: The actions field typically includes a set of options or buttons that allow users to perform specific actions related to the training material. 
  • Training Participants: Users can add and notify the participants for the training.
  • Add Participants: The user can filter the participants and add them to the training.

    • Department
    • Company

The user can perform the following actions in this section:

  • Submit: This option allows the user to add the training participants for the training.
  • Discard: This option allows the user to discard the changes before saving it.
  • Notify Particiants: By using this option, the user can send a notification to all the participants to remind them about the training.
  • Training Feedback: Users can view the training feedback after the training completed and feedback given by the participants.

The user can perform the following actions in this section:

  • Submit: This option allows the user to add the employee training in the system.
  • Discard: This option allows the user to discard the changes before saving it.
  • Update: This option allows the user to update the changes.

Note: After Completing the training the HR can mark the attendance of the participants.
