Employee Leave Generation

Introduction/Purpose:

The Employee Leave Generation module is designed to define and manage employee leave policies, automate leave accrual, and track leave balances for each employee. This module ensures that leave entitlements are accurately calculated and allocated based on the company’s policies, helping both employees and administrators efficiently manage time off. By maintaining up-to-date leave records, the organization can streamline leave requests, approvals, and reporting, ensuring compliance with labor laws and internal policies while fostering a fair and transparent leave system for all employees.

The purpose of the Calendar Year Module is to:

  • Define Organizational Timelines: Establish and manage the start and end dates of the calendar year to align all organizational processes.
  • Streamline Processes: Coordinate activities across departments by providing a unified reference for the calendar year.
  • Holiday Management: Integrate and manage holidays within the calendar year to ensure proper scheduling and resource planning, avoiding conflicts and ensuring smooth operations during employee time off.

This structured approach facilitates a smooth onboarding experience, ensuring that all employees are well-informed and equipped to perform their duties effectively from the start.

How To Navigate:

To access Employee Leave Generation module in the HRMS system, follow these steps:

  1. Click on the Menu Icon: Begin by clicking on the main menu icon, which is usually located at the top right corner of the screen. This will open the navigation panel that contains various sections of the HRMS system.
  2. Click on Leave Management: In the navigation panel, find the Leave Management section, which is typically located on the left side of the menu. Clicking on this section will expand the available options under Leave Management.
  3. Find the Transactions Section: Once the Leave Management section is open, locate the Transactions subsection. This section contains various transaction-related options, including attendance-related processes.
  4. Click on Leave Generation: Finally, under the Transactions section, click on the Leave Generation link. This will take you to the Leave Generation page, where you can view, update, and manage employee leaves records.

Listing: 

The Leave Generation Listing Page offers a structured and user-friendly interface to view all leaves generated for employees. This functionality supports both individual and bulk leave generation, ensuring streamlined management of employee leave records based on the leave groups assigned to employees.

In Leave Generation listing page the user can add perform following activities

  • Record Filter: Filter option allows users to filter the list of records based on visible columns such as
    • Emp. Name/Code/Ref No
    • Status
    • Leave Group
    • Leave Type
    • Employee Type
    • Payroll Group

In action tab the user will be able to perform the following actions

  • Process Leaves: This option allows the user to process the leave balance to the selected employee account.
  • Export Data: Selected Record, Current Page record or All records can be exported by users with listed Columns or All Columns to a spreadsheet or other file format for further analysis or reporting.
  • Import Data: The user can import leave data by uploading a CSV file in a predefined format. The file should include data fields such as
    • Employee Name
    • Employee Code
    • Leave Name
    • Leave Code
    • Approved Add Days

Assign Leave Balance: The user can assign leave balances to individual employees based on the leave type. By entering the required leave details and clicking the submit button, the system will update the employee’s leave balance records accordingly.
