Dashboard

Introduction/Purpose:

An HRMS (Human Resource Management System) dashboard is a digital tool that provides real-time access to vital HR data and analytics. Key functions include data visualization, real-time insights, efficient reporting, employee self-service, strategic decision-making, compliance tracking, cost management, employee engagement measurement, and recruitment and talent management.

How to Navigate:

The navigation to record dashboard in a HRMS system typically involves the following steps:

  • Click on the main navigation icon which is located on the top right corner of the screen then click on the Dashboard section which is located on the left side menus on the screen.

Dashboard Beta recordings:

When the user clicks on the dashboard beta option in the menu then the user will be redirected to the below page.

The dashboard of HRMS contains following sections/tabs

  • Summary
  • Payroll
  • Expense Claim
  • Loan & Advance
  • Employee

Summary: 

In the Summary section , the user will be able to view the overall summary of the HRMS platform.It is a concise overview of essential HR metrics and key performance indicators (KPIs) that provide an at-a-glance understanding of the current state of the workforce and HR operations. Its primary purpose is to offer a quick snapshot of critical HR information, Employee payroll, Expense information, allowing HR professionals, managers, and executives to assess the situation without delving into detailed reports. Here’s an explanation of what the summary section typically includes:

  • Employee Count :

In the Employee Count section, users can access a semi-circular chart that visually represents the distribution of employees by various categories, such as male and female. Under this graphical representation, users will find a numerical breakdown of the employee counts for each category within the company.

  • When users click on the total employee count, they will be redirected to the employee summary page. On this page, they can access a comprehensive list of all employees, including their employee codes, designations, email addresses, genders, joining dates, and job statuses.
  • In this listing user will be able to perform following actions:
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Overall Summary (YTD) : The Overall Summary section offers a comprehensive overview of the HRMS, encompassing details such as gross salary records, expense claims, employee loan amounts, and tax deductions. The user can filter the records based on the financial year.

Gross Salary:

  • When users click on the gross salary amount, they will be redirected to the Gross Salary Listing page. Here, they can access a list of all employees, along with details such as the month, total earnings, total deductions, payout, payrun, net amount, and gross amount for each employee.
  • The user can perform following action in this section
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.

Expense Claim:

  • When users click on the Expense claim amount, they will be redirected to the expense claim summary page. Here, they can access a list of employee names, along with details such as Employee code, Department, Voucher name, Request type, Head title, Voucher date, Amount.
  • The user can perform following action in this section
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.

Loan: 

  • When users click on the Loan amount, they will be redirected to the Loan details Listing page. Here, they can access a list of employee names, along with details such as Loan name, Loan code, Employee code, Total loan, Paid Amount, Waiver, Outstanding amount.The user can perform following action in this section
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.

Tax Deduction:

  • When users click on the Tax Deduction amount, they will be redirected to the Tax deduction Listing page. Here, they can access a list of total employees along with month and amount.
  • The user can perform following action in this section
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Loan Count : In the loan count graph, the user can view the graphical representation of loan count, which is active loans and total loanees.

Loan Details:

  • When the user clicks on the active loan, they will be redirected to the loan detail page.
    • Loan Details : In Loan details page, user can access a list of employee names, along with details such as Loan name, Loan code, Employee code, Total loan, Paid Amount, Waiver, Outstanding amount.The user can perform following action in this section
      • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
      • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
      • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.

Loanees:

  • When the user clicks on the loanees, they will be redirected to the loan detail page.
    • Loanees : In the Loanees detail page, user can access the list of the employee name along with employee code, loan count, Total loan, Paid Amount, Waiver and outstanding loan. The user can perform following action in this section
      • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
      • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format

  • Company Expense Breakdown : The company’s expense breakdown is a visual representation that displays the various costs incurred by the organization, including expenditures like employee salaries and expense claims.
  • When the user clicks on the Employee Salary, they will be redirected to the Employee Salary listing page.
  • Employee Salary : In the employee salary page the user can access the list of total employees along with month and amount.The user can perform following action in this section
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • When the user clicks on the Expense Claim, they will be redirected to the Expense Claim listing page.

  • Avg Salary Breakdown by Gender : The “Average Salary Breakdown by Gender” is a graphical representation that describes the distribution of salaries among employees, categorizing them by gender and providing a count for both male and female employees, along with the difference between the two groups.
  • The user can perform following action in the listing page:

  • Payroll Summary Breakdown (YTD) : The “Payroll Summary Breakdown” represents employee salary information in both graphical and tabular formats, including details such as the month, payroll breakdown components such as Net Payable, Tax Amount, Overtime Deductions, and Cost to Company (CTC).
  • Gross Salary of Top 10 Departments: The “Gross Salary of Top 10 Department” represents the salary breakdown by top 10 department.
  • By selecting a specific department, users  can access a comprehensive list of employees, including their employee code, job title, and the total net and gross amounts paid to individuals within that department.The user can perform following actions in the listing page.
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Salary Structure by Employment Count (YTD): The “Salary Structure by Employment Count” is a graphical depiction that showcases the salary framework categorized by employee type, which includes permanent, contract, casual, internship, and other classifications.
  • By selecting a specific Employment type, users  can access a comprehensive list of employees, including their employee code, Designation, Email, Employment type, and Gross amount.The user can perform following actions in the listing page.
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Loan Payment Summary (YTD): The “Loan Payment Summary” is a graphical representation that encapsulates essential information related to loan payments, encompassing details like Loan Payment Anticipation, Loan Payments Made, Waiver Amount, and the Outstanding Loan Balance.
  • When the user clicks on any of the fields mentioned above, they will be redirected to the corresponding selected page.
  • Loan Details: In Loan details page, user can access a list of employee names, along with details such as Loan name, Loan code, Employee code, Total loan, Paid Amount, Waiver, Outstanding amount.The user can perform following action in this section
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Loan Request: The “Loan Request” is a visual representation of employee loan requests, showcasing various statuses including pending, approved, and declined.
  • By selecting pending , approved and declined statuses, users  will be redirected to respective status listing pages. The user can perform the following actions in the listing page.
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Top 10 Loan Accounts : The “Top 10 Loan Accounts” is a tabular presentation that displays the top 10 user loan accounts. Users can see a list that includes employee names, employee codes, loan codes, loan amounts, paid amounts, outstanding balances, and status represented as percentages.
  • Avg Expense Claim : The “Average Expense Claim” is a numerical representation of employee expense claims. By clicking on this numerical value, users will be redirected to a page displaying a year-wise listing of expense claims.
  • In the expense claim year wise listing page the user will be able to view the listing of the year, month, claim amount. The user can perform the following action in this section.
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Large Increase : A “large increase” signifies a significant increase in an organization’s total expenses for a specific category when compared to the previous period. This spike shows a significant increase in overall expenditures during the chosen month, necessitating in-depth investigation and analysis to find the main reasons and analyze the associated repercussions.
  • The user can select the month for which the large increase will be displayed, and by clicking the refresh icon, the entire large increase section will be updated.
  • The user can view a list of expenses by selecting a value , where they can access information such as month and amount.
  • When a user clicks the message icon, a popup will appear, prompting the user to select between PDF, CSV, or both options. Upon choosing any of these options, the user will be directed to a page to send the selected PDF/CSV file via email.
  • Large Fall : A “large fall” refers to a significant and substantial decline in a given expense category within an organization over a specific time when compared to the prior period. This decrease is substantial, and it necessitates a thorough examination to establish which expense categories are primarily responsible for this significant reduction.
  • The user can select the month for which the large fall will be displayed, and by clicking the refresh icon, the entire large fall section will be updated.
  • The user can view a list of expenses by selecting a value , where they can access information such as month and amount.
  • Users can run searches inside columns within the system, allowing them to discover a specific expense. The PDF icon allows the user to download the PDF file, whereas the CSV icon allows the user to download the CSV file.

  • When a user clicks the message icon, a popup will appear, prompting the user to select between PDF, CSV, or both options. Upon choosing any of these options, the user will be directed to a page to send the selected PDF/CSV file via email
  • Top 10 Spenders (YTD) : The “Top 10 Spenders” is a grid presentation highlighting the ten employees who have incurred the highest expenses. It showcases the employee names, their respective departments, and the corresponding expenditure amounts.
  • When a user clicks on the expenditure amount of any spender, they will be redirected to a spender details page. On this page, users can access a list containing employee names, employee codes, voucher names, voucher dates, request amounts, head titles, and corresponding amounts.
  • The user can perform following action in this Listing page:
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Employee Headcount (YTD) : The “Employee Headcount” provides a visual overview of the total number of employees, including newly joined employees, exited employees, current employees, and the overall employee count.
  • Clicking on “Newly Joined Employees,” “Exited Employees,” or “Head Count” will redirect the user to the corresponding employee count information.
  • Upcoming Occasions : “Upcoming Occasions” presents a tabular format of events, including birthdays, anniversaries, or other significant occasions. It provides a list of employee names, employee codes, departments, and the respective dates for these upcoming occasions.
  • Leave Request (YTD) :The “Leave Request” is a graphical representation of employee leave applications, displaying various statuses such as approved, pending, and declined.
  • Punctual Employee (YTD) : The “Punctual Employee” is a tabular display showcasing punctuality among company employees. Users can employ filters to distinguish punctual and late employees within the table. Within the list of punctual employees, users can access employee names, employee codes, departments, and the percentage of employees who are consistently on time. 
  • Top 5 Absentees (YTD) : The “Top 5 Absentees” is a tabular presentation highlighting the five employees with the highest absenteeism in the company. This list includes employee names, employee codes, departments, and the number of days they have been absent.
  • Survey Status (YTD) : The “Survey Status” is a visual representation of survey that classifies surveys into three categories: upcoming, ongoing, and completed.
  • Survey Details (YTD) : The “Survey Details” provides both graphical and tabular representations of specific survey information, including total participants, pending responses, and completed responses.
  • Hovering the mouse over the graph will reveal the counts of pending and obtained responses.

Payroll

Within the payroll section, users can access both graphical and tabular formats containing comprehensive payroll-related information. This includes payroll summaries, records of gross salary changes, department-wise gross salary breakdowns, pay runs, payouts, tax deductions, salary breakdowns, variable salaries, and salary structures.

  • Payroll Summary : In the payroll summary, users can access graphical representations of various payroll-related aspects, including the total gross salary, the distribution of salaries between male and female employees, total earnings, tax deductions, other deductions, net salaries, total payruns, and total payouts.
  • By choosing any of the graph counts, such as earnings, tax deductions, other deductions, net salary, total payruns, or total payouts, the user will be directed to the corresponding Payroll Summary Details pages.
  • The user can perform following action in the listing page :
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Change in Gross Salary Record : The “Change in Gross Salary Record” graph illustrates the month-to-month changes in an employee’s gross salary for an entire year, presenting both the previous and updated salary figures. Additionally, it differentiates salaries based on region and currency, highlighting the variations between them.
  • Clicking on any of the region or currency count options for salary will redirect the user to the Change in Gross Salary listing page.
  • The user can perform following action in the listing page :

  • Payrun : The “Payrun” offers both graphical and tabular representations of payrun records. Users can access information such as net payable amounts, deductions, employee contributions, Cost to Company (CTC), and the corresponding month.
  • Payout : The “Payout” offers both graphical and tabular representation of payout record.Users can access information such as net payable amounts, deductions, employee contributions, Cost to Company (CTC), and the corresponding month.
  • Tax Deduction : The “Tax Deduction” graph visually presents the company’s tax deductions while also providing insights into the low, average, and high levels of tax deduction.
  • By selecting the total tax deduction amount the user will be redirected to the tax deduction detail page where the user can access the list of months along with total employee and amount.
  • The user can perform the following actions in the listing page.
    • Download CSV : On clicking “Download CSV” icon user will be able to download listing in the .csv format
    • Download PDF : On clicking “Download PDF” icon user will be able to download listing in the .pdf format
    • Send Mail : On clicking the “Send Mail” icon user will be able to send the mail of listing in the form of PDF , CSV and both.
  • Salary Breakdown : The “Salary Breakdown” is a visual depiction illustrating the distribution of salary components, which include basic salary, lunch allowance, house allowance, transport allowance, and other expenses.
  • When users select options like lunch allowance, housing allowance, basic salary, transport allowance, or other expenses, they will be redirected to the corresponding salary breakdown page where they can view a list of employee names, employee codes, designations, salary breakdown details, and the corresponding amounts.
  • Bank Accounts : The “Bank Account” is a tabular display of bank accounts used for salary processing. In this listing, users can access information such as the bank name, account number, and the associated salary details. 
  • Variable Salary : The “variable salary” graph visually represents earnings that fluctuate (variable) and earnings that remain constant (fixed) throughout each month within a year
  • Salary Structure : The “Salary Structure” is a graphical representation illustrating the distinct salary structures assigned to various types of employees, including permanent staff, contract staff (C&I), fixed-term contract workers, graduate interns, and more.  

Expense Claim: 

An expense claim is a structured process that enables employees to request reimbursement for expenses they’ve personally paid for while fulfilling their work obligations. These expenses typically cover items such as travel costs, meal expenses, office supplies, or any other expenditures directly linked to their job-related duties.

Avg Expense Claim: The “average expense claim” refers to the average monetary amount that employees request reimbursement for via the expense claim process. It signifies the typical value of expenses submitted by employees, encompassing various work-related costs such as travel expenses, meals, office supplies, and other eligible expenditures.

  • The user can select the year for which the average expense claim will be displayed, and by clicking the refresh icon, the entire average expense claim section will be updated.
  • The user can view a list of expenses by selecting a value , where they can access information such as year , month and amount and so on.

  • Users can run searches inside columns within the system, allowing them to discover a specific expense. The PDF icon allows the user to download the PDF file, whereas the CSV icon allows the user to download the CSV file.

Top 5 Department by Expense Claim: The “Top 5 departments by expense claims” section highlights the five departments with the highest overall expenses for a given time, indicating where employees have incurred large costs and sought compensation.

  • The user can set the time period for which the large fall will be displayed, and by clicking the refresh icon, the entire top 5 departments by expense claim will be updated.
  • The user can view a list of expenses by selecting a value , where they can access information such as month and amount.

Expense Claim Summary: The “expense claim summary” section provides an overview of an organization’s expenditure claims for both the previous year and the current year. This feature allows users to compare total expenses for each year and compute the difference between them side by side.

  • The user can set the time period for which the expense claim summary will be displayed, and by clicking the refresh icon, the entire expense claim summary section will be updated.
  • The user can view a list of expenses by selecting a value , where they can access information such as employee name, code and department and so on.

Loan and Advance 

Introduction/Purpose:

The Loan and Advance module allows the view of summarized information of loan related data in the form of charts and lists from where the user can access the detailed information of their selected categories.

It will allow the user to view the following sections : 

  • Loan Count
  • Loan Payment Summary(YTD)
  • Monthly Installment (YTD)
  • Loan Request
  • Top 10 Loan Account
  • Loan Payment
  • Loan Type
  • Post Exist Loan Settlement Account
  • Loan Completion Percentage

Loan Count: The Loan Count in HRMS dashboard allows the user to view the count of data such as:

  • Active Loan
  • Loanees

Description:

  • User can choose the occasion category in order to view the upcoming occasions.

Probation Status: The “Probation Status” pie chart on the HRMS dashboard displays the status of employee probation.
