Introduction/Purpose:

The Employee Leave Plan module is a centralized system designed to streamline the management, tracking, and planning of employee leave. It allows organizations to efficiently handle employee leave plan requests, approvals, and updates while ensuring alignment with company policies and compliance standards.

How To Navigate:

To access Employee Leave Plan module in the HRMS system, follow these steps:

  1. Click on the Menu Icon: Begin by clicking on the main menu icon, which is usually located at the top right corner of the screen. This will open the navigation panel that contains various sections of the  HRMS system.
  2. Click on Leave Management: In the navigation panel, find the Leave Management section, which is typically located on the left side of the menu. Clicking on this section will expand the available options under Leave Management.
  3. Find the Transactions Section: Once the Leave Management section is open, locate the Transaction subsection. This section contains various transaction-related options, including leave related processes.
  4. Click on Employee Leave Plan: Finally, under the Transactions section, click on the Employee Leave Plan link. This will take you to the Employee Leave Plan listing page, where you can view, update, and manage employee leave plan records.

Listing: 

The Employee Leave plan Listing Page provides an organized view of all employee leave plan records, allowing users to efficiently track and manage them. It offers the following features:

  • Department: Displays the department to which the employee belongs, helping categorize leave plans by organizational units.
  • Employee Name: Shows the name of the employee for whom the leave plan is created, enabling easy identification.
  • Employee Code: Displays the unique identifier assigned to the employee, facilitating efficient tracking and management of records.
  • Company Name: Indicates the name of the company associated with the employee, essential for organizations managing multiple entities.
  • Start Date: Specifies the start date of the employee’s leave plan, marking the beginning of the leave period.
  • Overlap Count: Highlights the number of overlapping leave requests submitted by the employee, ensuring compliance with the set limits.
  • Working Days: Displays the total number of working days within the leave period, excluding weekends or holidays as per company policies.
  • Total Days: Represents the total number of days covered in the leave plan, including working days, weekends, and holidays.
  • Added Date: Shows the date when the leave plan record was created, providing a timeline for tracking and auditing.
  • In Reviews: Indicates whether the leave plan is currently under review or awaiting approval.
  • Action: Provides options for actions such as:
    • Edit: Modify the leave plan details as required.
    • Approve: Allow user to approved the employee leave plan.
    • Decline: Allow user to decline the employee leave plan.

In Leave Planner listing page the user can add perform following activities

  • Record Filter: Filter option allows users to filter the list of records based on visible columns
  • Export Data: Selected Record, Current Page record or All records can be exported by users with listed Columns or All Columns to a spreadsheet or other file format for further analysis or reporting.
  • Import: The user can import leave data by uploading a CSV file in a predefined format. The file should include data fields such as
    • Employee code
    • Employee Name
    • Request Date
    • Leave  planner
    • Start Date
    • End Date
    • Reason

The user has the flexibility to change the view of the leave planner records submitted by employees, offering two distinct ways to view the data for better analysis and decision-making.

  • List View
  • Chart View
