The Document Management System (DMS) Dashboard serves as a centralized hub, offering an intuitive and organized view of all document management activities. It provides a comprehensive summary of documents, categorized by type, status, or workflow stage, enabling users to track their progress efficiently. Recent activities are highlighted, keeping users informed about the latest updates, uploads, or approvals. A dedicated task management section lists pending reviews or approvals, complete with deadlines and priority levels, ensuring seamless workflow handling. The dashboard also features a search bar and quick access shortcuts to frequently used folders or templates, saving time and effort. Performance metrics such as graphs or charts provide insights into document trends, approval timelines, and workflow efficiency. Integrated user and role management options enhance control over document security, while the upload and management panel simplifies adding new documents, assigning workflows, and maintaining version histories. The DMS dashboard provides a comprehensive view of your document and folders status with related management activities. Below is a breakdown of its key elements:
- Folders : Displays the total number of department folders access provided to the user, allowing for organized storage and easy navigation.
- Files Shows the total number of files access user has given in the system, providing an overview of the documents managed.
- Shared: Indicates the number of documents currently shared with others, promoting collaboration among users.
- Sign Pending: Lists the number of documents awaiting signatures, helping track approvals that require attention.
- Status: Provides an overview of the current state of files and folders, enabling quick status checks.
- Date Range Filter : It allows users to select a predefined time range for viewing data, typically in reports or analytics tools.

- Date Range Filter : It allows users to select a predefined time range for viewing data, typically in reports or analytics tools.
- Bookmarks: This Widget displays previously added bookmarks in the system
- Search: This feature allows to search bookmark in the list
Activity Section
The Activity section tracks key actions taken on documents, providing a detailed log for easy reference
- User will be able to view below actions
- Upload: Displays files recently uploaded to the system.
- Download: Shows files that have been downloaded.
- Shared: Indicates documents shared with others.
- Locked: Lists files currently locked for editing, preserving version integrity.
- Deleted: Tracks files that have been removed.
For each activity, the following details are available:
- File Name: The specific document name involved in the activity.
- Location: The folder or location where the file resides.
- Performed By: The user who completed the action.
- Version: The current version of the file.
- Action At: Timestamp of when the activity occurred.
Saved Searches
User can view previously saved searches within the widgets
Search : This feature allows to search saved search in the list
Access Type : The Access Control section allows to monitor and control who can view files or folders. It offers two options:
- Anyone with Link: Allows anyone with the shared link to view the file or folder.
- Restricted: Limits access to specific users only.
The color-coded indicators represent different access levels for files and folders, allowing users to quickly identify sharing settings:
- Blue: Indicates the number of files or folders shared with Anyone with Link access.
- Green: Represents files or folders with Restricted access, limited to specific users.
This visual system helps users to monitor and control shared content efficiently by providing a quick overview of access permissions.
User will be able to switch between Files and Folders
Trash Management
The Trash Management section provides a visual overview of deleted items in the system, displayed as a pie chart for quick insights:
- Blue: Represents files or folders which are soft deleted and can be restored from the Trash Management. on hover the count of the items can be viewed by the user.
- Green: Indicates that a previously deleted or archived file or folder has been recovered and is now available again in the system..
- Yellow : Items permanently deleted from the system.On hover the count of items Purged or permanently deleted from the DMS will be displayed
- Files: Count of trashed files.
- Folders: Count of trashed folders.
- User will be able to switch between Files and Folders
Each status is shown in a distinct color to easily identify the stage of each item:
- Trashed: Items put in the trash but not yet permanently deleted.
- Purged: Items permanently deleted from the system.
- Restored: Items retrieved from the trash and returned to active use.
