Request For Proposal

This guide explains how to view and filter Request For Proposals (RFPs) using the mobile procurement application. An RFP is a formal document inviting vendors to submit a detailed proposal for a specific project, product, or service.View and track RFPs on the go, including closure dates, invited/response counts, and award status.

How To Navigate

  • From the Dashboard, tap on Quotation / Proposal to expand the menu.
  • Select Request For Proposal.
  • This will take you to the main Request For Proposal list screen, displaying all your existing RFPs.

Viewing Existing Request For Proposals

The Request For Proposal list provides a comprehensive overview of all RFPs and their current status.

  • List Display: Each RFP entry typically shows:
    • RFP Number (e.g., 0012-RFP-10058)
    • Creation Date
    • Subject Line / Description of the request (e.g., “Request for quotation for 10 cement bag”)
    • Number of Line Items included in the RFP
    • Invited Vendors: Shows the number of vendors invited versus how many have responded (e.g., “1/1” means 1 invited, 1 responded).
    • Closure Date: The deadline for proposals.
    • Status Tag: Indicates the current status (e.g., “AWARDED”).
  • Status Filters: Use the tabs at the top of the screen to quickly filter RFPs by their status:
    • All
    • Pending
    • Approved
    • Cancelled
    • Awaiting

Filtering Request For Proposals

To efficiently locate specific RFPs within your list:

  1. From the main Request For Proposal list screen, tap the Filter icon (funnel icon) at the top right of the screen.
  2. A filter pop-up will appear, allowing you to refine your search based on various criteria:
  1. Request Number: Search by a specific RFP identification number.
  2. Closing Date: Filter by the deadline for proposal submissions (DD/MM/YYYY).
  3. Initiation Start Date: Define a start date for the RFP’s creation period.
  4. Initiation End Date: Define an end date for the RFP’s creation period.
  5. Subject Line: Search by keywords in the RFP’s description.
  6. Currency: Filter by the currency specified in the RFP.
  7. Request Status: Select a specific status (e.g., All, Pending, Approved, Cancelled, Awaiting).
  8. Tap Done to apply the selected filters and view the matching RFPs.
  9. Tap Reset to clear all applied filters and return to the full list.
