Introduction/Purpose
The Work Order Request from Technician module in the Smart Maintenance System is designed to empower technicians to initiate maintenance requests directly. This feature ensures that technicians, who are often the first to encounter issues during inspections or routine tasks, can proactively report and request maintenance work for assets.
The module allows technicians to create detailed work order requests by providing essential information such as the work title, associated department, asset details, location, procedures, priority, and supporting files. These requests are then routed to the company manager or administrator for review and approval, ensuring a structured and efficient maintenance workflow.
By facilitating direct input from technicians, this module enhances the responsiveness of maintenance operations, reduces delays in addressing issues, and promotes a proactive approach to asset management, ultimately leading to improved equipment reliability and reduced downtime.
Dependency
The Work Order Request from Technician module relies on the following dependencies:
- Work Title: A concise and clear title summarizing the maintenance task.
- Department: A designated department must be configured to handle the work order request.
- Location: A location must be assigned for the work order to specify where the maintenance task is required.
- Asset: At least one asset should be added, as the request will pertain to a specific asset.
- Procedure: A defined procedure must be available for technicians to follow when addressing the issue.
- Priority: The urgency of the task (e.g., Low, Medium, High) to prioritize resources effectively.
- Due Date: The deadline for completing the requested task.
- Start & End Time: Timeframes for initiating and concluding the maintenance task.
- WO Request Files: Relevant documents or files attached to provide additional context or details about the request.

- This module enables technicians to actively contribute to the maintenance process, leveraging their firsthand knowledge of asset conditions.
- Work order requests submitted by technicians undergo the same review and approval process as other requests, ensuring consistency and accountability.
- The system maintains a comprehensive record of technician-initiated requests, providing valuable data for performance analysis and decision-making.
- Role-based access ensures that only authorized technicians can use this module to submit maintenance requests.

How To Navigate To Work Order Request From Technician
The navigation includes the following step for viewing the work order request in the computerized maintenance management system.
- Click on the Work Order Request tab: The work order request can be accessed by clicking it from the work order request section.
Work Order Request From Technician Tab Listing
A technician specific work order request listing in a computerized maintenance management system is a feature that provides a list of all work order requests with specific technicians.
- Technicians can view the following information in the work order request listing page
- Req Order code
- Work Title
- Location
- Asset
- Due Date
- Status
- Approved
- Rejected
- Cancelled
- Technicians will not be able to access the approval flow. The maintenance department manager will be able to perform the “approve” / “reject” / “cancelled” to the technician specific work order requests.
Work Order Request – Add Form (Technician login)
Add new: The “Add new” function allows you to create and add new work order requests to the system as shown in the below screen.
- Technician will be able to add the work order requests with the following fields
- What needs to be done ? (Required) :
- This is specifying the “work title” / “what needs to be done” for the work order request.
- Description :
- This is specifying the description of the work order request.
- Location (Required) :
- This is specifying to choose the location of the work order request using the dropdown list.
- Asset (Required) :
- This is specifying to choose the asset of the work order request using the dropdown list.
- Department (Required) :
- This is specifying to choose the department name of the work order request using the dropdown list.
- Priority (Required):
- This is specifying to select the priority of the work order request using the radio buttons.
- Deadline Date (Required) :
- This is specified to choose the “deadline date” or “due date” of the work order request using the calendar.
- Availability (specific time & end Time) (Required):
- This is specifying to choose the availability timeframe. If the technician chooses the available timeframe as others, then, the user needs to choose the specific time and end time of the work order request.
- Upload Images and File Upload:
- Upload the work order request images and files.
- What needs to be done ? (Required) :
User can perform the following actions
- Search : The “Search” function enables searching using multiple field names such as work requests, asset, location. to find specific data.
- Refresh : The “Refresh” function allows technicians to refresh the work order request listing page.
- Sort By : The “Sort By” function allows technicians to sort the data either in ascending or in descending order for different fields such as due date, priority, work title.
- Filter (Show left panel search) : This “Filter” feature allows technicians to search the data from individual fields.
View Form – Work Order Request (Technician login) :
- Technicians will be able to view the details of the existing technician specific work order request with the details as shown in the below screen.
- Technicians can view the following details from the work order request details page.
- Work Title
- Priority
- Asset
- Department
- Status
- Due Date
- Location
- Requested Date
- Technicians can send the any comments in the work order request view form
Work Order Request (Technician login) – Recording & Update
- Technicians will be able to edit and update the work order request details as shown in below screen.
Note :
- Technicians can update a work order request only under the following condition:
- The approval status remains unchanged.
- If the technician sets the approval status to either “Approved” or “Rejected” or “Cancelled,” the work order request cannot be updated.
Technicians can perform the following actions:
- Submit: The “Submit” function allows the technician to submit the required information while creating a new work order request.
- Discard: The “Discard” function allows the technician to cancel the submission of information provided at the time of creating a new work order request.
