Introduction/Purpose
The Work Order Quotation Module in a Computerized Maintenance Management System (CMMS) plays a pivotal role in ensuring cost-efficient and effective maintenance operations. This module facilitates accurate cost estimation, vendor selection, and resource planning, which are critical for managing budgets, controlling expenses, and maintaining operational compliance.
By serving as a central repository for quotation documentation, it enables users to analyze performance, evaluate vendor responses, and make data-driven decisions. The module’s comprehensive functionality, including cost projections and access to historical performance data, empowers organizations to optimize maintenance management and achieve strategic financial goals.
Dependency
Work Order Quotation module will have below mentioned dependencies
- System Performance: System should respond properly and efficiently to fetch the quotation details and respond to the vendors.
- Work Order Quotation Requests: When the vendor with normal vendor type as normal are assigned with any work order then that vendor need to quote for the work order. Those all work order with quotation will display here.
- Valid User Access: The logged in user must have the access of this module to perform the operations.
How To Navigate To Work Order Quotation
The navigation includes the following steps for viewing the parts in the computerized maintenance management system.
- Click on the Master tab: The master can be accessed by clicking on the Master tab on the side menu.
- Click on Work Order Quotation: The work order quotation master can be accessed by clicking it from the master section.
Work Order Quotation Master Tab Listing
A work order quotation listing in a computerized maintenance management system is a feature that provides a list of all work order quotations.
- Users can view the following information in the work order quotation listing page
- WO Number
- Vendor Name
- Price
- Status
Users can perform the following actions:
- Advanced Search : The “Advanced Search” function enables searching using multiple field names with multiple conditions to find specific data. The “Search” function allows the user to look for a specific entry within the available data and presents results that match the search parameters.
- Hide / Show Columns : This function allows users to hide or show the specific columns by checking the checkboxes. Users can also access the “check all” and “uncheck all” columns.
- Export: The “Export” feature allows users to export selected or all data in CSV or XLS or PDF format.
- Show all listing records: This functions like a refresh icon, retrieving and displaying all records in the listing.
- Filter (Show left panel search): The “Filter” function in the work order quotation master allows users to customize their view of work order quotations based on specific criteria.
Key Notes :
- Users can create work orders and assign technicians as external vendors.
- Vendors can log in to their accounts to respond to quotations for assigned work orders.
- The module allows managers or administrators to review, approve, or reject vendor responses.
- Work order quotations submitted by vendors are visible in this module for further actions.
This module streamlines the quotation process, ensuring that maintenance operations are cost-effective and vendor responses are systematically managed.
